An assistant can bring information together more quickly. However, he cannot decide which files should be stored properly in your company. This is exactly where it is worth starting an AI pilot project.
What your team can find matters
Microsoft describes that Copilot takes existing access authorizations into account for company information. This is an important basis. However, if a confidential file is already shared with too large a group of people, this sharing will not be automatically corrected through the use of AI.
A sensible way to start is to carry out a joint review with those responsible for the most important filing systems. Which Teams still exist from old projects? Which external guests still need access? Where are current templates located and where are outdated versions next to them?
Choose a specific task
“We want to use AI” is not yet a verifiable goal. A clearly defined task is better. An example: A project team wants to create a first draft of the next status update from shared meeting notes. The responsible person then checks the draft against the original notes.
This experiment can be used to determine whether the information can be found, whether important details are missing and how much rework is necessary. The result is more meaningful than a general test without a fixed procedure.
Four questions for the pilot
- Which specific task should be made easier?
- What data can the tool use for this?
- Who checks the result and decides on its further use?
- How do we recognize actual benefit after a few weeks?
Translating rules into everyday life
Your team needs understandable examples. Determine which information can be processed in which tool and when additional checking is necessary. Also clarify how erroneous results will be reported. A short, concrete work instruction is often more useful for getting started than an extensive document that has no relevance to everyday life.
Start with a task, a small team and a verifiable result. Don't expand the stakes until the foundation works.
